How to write help docs your AI support agent can actually use
An AI support agent is only as good as the docs behind it. Here's how to write and structure help content so the AI gives accurate, useful answers.
An AI support agent answers customer questions using your help docs. That means the quality of its answers depends on the quality of your docs. Clear content leads to clear answers. Messy content leads to messy ones. Here's how to write help docs that an AI agent can use well — which happens to make them better for your human readers too.
1. Keep one topic per article
Give each question or task its own page. When one article tries to cover five different things, the AI has a harder time finding the exact answer, and so do your customers. Short, focused articles are easier to match to a question.
2. Use clear, specific titles
Title each article the way a customer would ask about it. "How to reset your password" is better than "Account credentials." If people search using certain words, use those same words in your title. This helps the AI match the right article to the right question.
3. Put the answer first
Start each article with the direct answer, then add the details underneath. Don't bury the key point three paragraphs down. When the answer is near the top, the AI can pull it cleanly, and readers who skim still get what they came for.
4. Use plain language
Write the way you'd explain it to a new customer. Avoid internal jargon and product code names unless your customers use them too. If you must use a term, define it the first time. Plain wording gives the AI clearer material to work with.
5. Keep steps as numbered lists
For anything with steps, use a numbered list, one action per step. This structure is easy for the AI to follow and repeat back accurately, and it's easier for customers to follow along.
6. Cover the small details customers actually ask about
Think about the follow-up questions and edge cases: "What if I don't get the email?" "Does this work on mobile?" "What happens to my data if I cancel?" These are the exact things customers ask support. If the answers are in your docs, the AI can handle them instead of passing them to your team.
7. Keep it up to date
Old, wrong information is worse than none. When your product changes, update the docs. Remove articles about features that no longer exist. An AI agent will faithfully repeat whatever your docs say, including the outdated parts, so keeping them current keeps its answers correct.
Good docs help everyone
Writing for an AI agent isn't a separate task from writing for people. The same things — clear titles, plain language, one topic per page, answers up front — make your docs better for both. Put the effort in once, and your customers and your AI both benefit.
If you use ContextHive, the agent answers directly from these docs, so cleaner content means better, more accurate replies with less work for your team.
